For new mental health practices

Insurance credentialing and billing for your new practice

We get your new mental health practice on insurance panels and handle every claim after: eligibility, submission, denials, posting. You see patients. We get you paid.

Opening soon? Credentialing takes 90–150 days. The best day to start was yesterday. The second best is today.

The clock is real

Your open date is coming. Here’s what has to happen first.

Insurance companies won’t pay you until you’re credentialed with each one — CAQH, Medicare, Medicaid, and every commercial payer, each with its own application, timeline, and follow-up calls. It takes 90 to 150 days, and most new providers find out too late, opening with zero insurance revenue for months. We start your applications this week, chase every payer until you’re approved, and set up your billing so claims go out on day one.

What’s included

One team for the whole thing.

Enrollment before you open, billing after, and a named person who answers the same day. You pick your codes in your EHR; we cross-check every claim before it goes out.

Before you open

Credentialing, start to done

  • CAQH profile setup and cleanup
  • Medicare and Medicaid enrollment
  • Up to 6 commercial payers
  • Behavioral carve-outs — the card says Aetna, the payment comes from Optum Behavioral. We know.
  • Weekly status updates on every application
After you open

Billing, end to end

  • Eligibility checked before every visit
  • Claims out within 48 hours
  • Denials worked and appealed, not written off
  • Payment posting and patient statements
  • A monthly report you can read in five minutes
Always

A person, not a portal

  • A named account manager, same-day answers
  • Your codes stay yours — you pick them in your EHR, we cross-check every claim
  • Signed BAA before any patient data moves
  • AI speeds our work behind the scenes — you always talk to a person
How it works

Three months of paperwork. Zero of it yours.

You send your documents once. We handle every application, portal, and follow-up call after that.

  1. 1

    A 20-minute call

Your payers, your state, your open date. You leave with an honest timeline for every application, whether or not you sign.

  2. 2

    We file everything

CAQH cleanup, Medicare, Medicaid, commercial payers, EHR and clearinghouse setup. Weekly status updates — you never chase us.

  3. 3

    You open, claims flow

While credentialing finishes, your self-pay and superbill bridge keeps revenue moving. Approvals land, claims go out within 48 hours, denials get worked. First billing month free.

Building your practice, or stocking theirs?

Platforms credential you under their group, set your rates, and own the patient relationship. Great for filling hours. But if you’re building a practice with your name on the door, you want your own payer contracts, your own rates, and patients that are yours. That’s what we set up. It takes longer, and it’s worth it.

Who’s behind it

Built by engineers. Run by billing veterans.

Clairwise is a small team of engineers and experienced US revenue-cycle managers. The billing veterans oversee every application and every claim, and stay in touch with you the whole way. The engineers sit on the same team, building the tooling that makes them faster.

Experienced RCM managers

Years of full-cycle US billing across mental health practices — eligibility, claims, denials, appeals. They oversee your account personally and know your payers by name.

Engineers on the same team

Our own tooling tracks every application and scrubs every claim before it goes out. When something needs to move faster, we change the software the same week — no vendor queue.

In touch, all the time

Weekly credentialing updates, same-day answers, one named person who owns your account. We take on a small number of practices, so every one gets founder-level attention.

Questions we get

Straight answers

Can I see patients before credentialing finishes?

Yes. Self-pay with superbills your patients submit to insurance, Good Faith Estimates handled. Some payers backdate to your application date; Medicare pays back to your submission date once approved.

Who actually does the work?

A named biller with 6+ years in US mental health billing, working inside your EHR. We use AI internally to scrub claims and speed the paperwork — but every decision, every call, and every answer is a human. You get their name on the first call, not a ticket queue.

Which EHRs do you work with?

SimplePractice, Charm Health, TherapyNotes, and most major systems. Don’t have one yet? We’ll help you pick on the setup call.

Do you take a percentage of self-pay?

No. We charge only on insurance collections we process. Your cash sessions are yours.

What if I’m already open and drowning in billing?

Also us. Book the call and bring your backlog — the same team works it.

What am I committing to?

No long contract, no monthly minimums, cancel anytime with 30 days notice. A signed BAA before any patient data moves, and the first billing month is free — the trial costs you nothing.

We take on a small number of practices at a time, so every one gets founder-level attention. We’re early, and honest about it.

Two onboarding slots open this quarter.

Twenty minutes: your payers, your state, your open date, an honest timeline. If we’re not a fit, you leave with the credentialing checklist anyway.
